The Scheduled Campaign module under Chat360’s Smart Campaign suite enables businesses to broadcast WhatsApp messages in bulk using approved WhatsApp templates. This feature is essential for campaign automation, offering scheduling, recipient personalization, media support, and multi-frequency configuration.
The module supports two primary methods for data integration—internal contacts with filters or external CSV/Google Sheets uploads—ensuring a flexible and robust campaign delivery process.
How to Launch a Scheduled Campaign
The campaign creation process is divided into four key stages, accessible via the “Create New Campaign” button in the Smart Campaign dashboard.
You can add recipients to the campaign via two methods:
A. Import Contacts from Chat360
Use Case: Send a personalized festival offer to all contacts tagged with “Diwali Campaign”.
B. Import Data via External File (CSV/Google Sheets)
-
Step 3: Test Your Campaign
- Use the "Perform Testing" option to preview the template.
- Enter a WhatsApp number to receive a test message.
- Confirm:
- Message content accuracy
- Variable mapping
- Media attachment visibility
-
Step 4: Schedule Your Campaign
- Schedule the Campaign:
- Select the exact Date & Time of launch.
- Set Campaign Frequency:
- Options include Daily, Weekly, or Monthly recurrence.
- Get Response on Email:
- Add up to three email addresses to receive campaign reports and engagement summaries.
- Review & Launch:
- Final confirmation prompt allows you to double-check all configurations.
- Click Launch to activate the campaign, or Save as Draft for future review.
Configure the timing and delivery strategy using the following toggles:
-
Key Use Cases
- Automate reminder messages for subscription renewals.
- Announce flash sales with media banners and promo codes.
- Send periodic newsletters via WhatsApp using templates with dynamic personalization.
-
Campaign Retry Feature (WhatsApp Campaigns)
Overview:
- Create and configure your campaign as usual.
- On the final scheduling screen, toggle ON the “Retry on Failed Numbers” option.
- Set the retry interval – any duration between 24 hours to 3 days.
- Define the maximum number of retry attempts (up to 3 times).
- Once launched, the system will:
- Automatically detect failed messages.
- Retry those messages at the defined interval.
- Continue attempting until either:
- The message is delivered.
- The maximum retry count is reached.
The Campaign Retry Feature in Chat360 Smart Campaigns is designed to improve the success rate of WhatsApp message deliveries by automatically retrying failed messages. This is especially valuable in light of Meta’s Frequency Capping policies, which can cause messages to fail even if the recipient is valid and reachable.
The retry mechanism ensures that failed messages are rescheduled and resent automatically within a defined window of 24 hours to 3 days, with a maximum of three attempts, significantly increasing campaign effectiveness and lead conversion.
How to Configure Campaign Retry
You can activate this feature in the final step of creating a Scheduled Campaign:
No additional user action is required after setting up retries. The system handles all resending processes in the background.
-
Use Case Example
Your campaign to 5,000 customers fails to deliver to 400 users due to Meta’s Frequency Cap. Instead of manually creating a new batch, the system retries those 400 users automatically over the next 3 days, recovering 320 missed deliveries without any intervention.
-
Key Benefits
- Retries missed contacts proactively, ensuring more customers receive campaign messages.
- Mitigates loss from platform restrictions and temporary delivery failures.
- Saves manual effort in tracking and re-uploading failed numbers.
- Reduces dependency on operations teams for follow-ups or secondary campaigns.
- More message deliveries = better engagement = higher conversion potential.
- Consistently supports campaign success with minimal administrative overhead.
